Getting started

Build your roster

On the Roster tab, tap Import from Contacts to pick people from your phone, or New contact to add someone new (they're saved to your phone's Contacts too, so the two stay in sync). Tap any player's name to rate them on Reliability, Skill, and Vibe.

Send an invite

Tap players on the Roster tab to select them (a checkmark appears), then go to the Invite tab to set the when and where, and tap Start group text — your Messages app opens with everyone prefilled. Tip: the "When" field understands plain language, so "Thu 6:30pm" becomes the next Thursday at 6:30.

Track who's in

Every invite you send is saved on the Sessions tab. As replies come in, tap In / Maybe / Out for each person — Who's In records response times and flags anyone who said yes then dropped. Use Text the ins (or ins + maybes) to send a quick follow-up from that same screen.

Mark a player as away

Tap a player on the Roster tab to open their editor, then toggle Away (a Pro feature). You can set an optional return date — when that date arrives, they're automatically restored to active. While away, they're dimmed on the roster, removed from selections, and skipped in invites.

Switch between activities

Tap the activity name in the header to open the Groups sheet, where you can switch between activities or create a new one (Pro). Each activity has its own roster, settings, and session history. Use Copy roster to bring players from another activity as a starting point.

Remove multiple players at once

On the Roster tab, tap the checkbox on the left of any player row to select them. Tap as many as you like — a bar appears above the tab bar showing how many are selected. Tap Remove in that bar, review the names, then confirm twice to remove them from your roster. Session history for those players is preserved.

Back up and sync your data (Pro)

Open Settings (⚙) → Backup & Sync and sign in with Google. Who's In Pro automatically backs up your roster, sessions, and activity groups to the cloud and syncs across your devices. When you sign in on a new device, you'll see a per-activity breakdown of what's in the cloud and what's on the device before you decide whether to overwrite or merge.

FAQ

What languages is Who's In available in?

English, Deutsch (German), 日本語 (Japanese), and 한국어 (Korean). The app picks the right language from your device automatically. To override, go to Settings (⚙) → Language and choose one.

Why does the app ask for Contacts access?

So you can pick players for your roster and text them an invite, and (with your confirmation) save a new player to your phone's Contacts. Your contacts are used only on your device and are never uploaded anywhere.

I chose "Selected Contacts" but the app says access was denied

This is fixed in version 1.0.1. iOS 18 introduced a "Selected Contacts" (limited) option that earlier versions of the app didn't recognise — update to 1.0.1 and it will work correctly. To change which contacts the app can see, go to Settings (⚙) → Update contact access.

Can the app read who replied to my group text?

No — iOS doesn't allow any app to read your Messages. That's why you tap In / Maybe / Out yourself as replies come in. It's a couple of taps and keeps everything private.

What does Who's In Pro include?

Pro is a one-time purchase that unlocks an unlimited roster, multiple activities (volleyball, pickleball, poker night as separate groups), your full session history, away/paused players with optional return dates, and copy roster between groups. The free version covers a single activity with up to 20 players and your most recent sessions.

I bought Pro but it's not showing (new phone, reinstall)

Open Settings (⚙) → the upgrade screen, and tap Restore purchase. Pro is tied to your Apple ID, so it restores at no charge.

The group text opened as separate messages instead of one thread

How a prefilled group message behaves can vary by carrier and by whether recipients use iMessage. Who's In hands the invite to your Messages app; sending is handled by iOS from there.

Where is my data stored? How do I delete it?

By default, everything lives only on your device — roster, ratings, notes, and session history. If you sign in with Google (Pro feature), a copy is also stored in your private Firestore collection. Deleting the app removes local data; signing out of Backup & Sync leaves the cloud copy in place until you delete your account. Contacts you added to your phone remain in the Contacts app until you remove them there. See our Privacy Policy.
